EMCO replaces scattered emails and spreadsheets with a single source of truth in Smartsheet with MASA Consult’s help.

About EMCO

For more than 75 years, EMCO has been building precision machine tools, milling centres, and turning machines. Headquartered in Hallein, near Salzburg, with three additional production sites in Italy, the company employs over 700 people and serves industries ranging from automotive to defense.

Managing such large and complex operations requires careful coordination. “Projects like these cannot simply be handed over to production—they require the cooperation of many teams. That’s why you need a tool that creates transparency and provides a central location for all relevant information,” explains Mickael Osswald, project manager at EMCO.

The Challenge

Siloed processes, scattered information

Originally, however, EMCO did not have a central tool for project management. Communication took place via various channels, which made coordination between teams difficult. Information was often exchanged via spreadsheets and meetings, resulting in a high level of coordination effort.

“We had endless email chains, and people often struggled to figure out who owned a process or task,” Osswald recalls.

It was also difficult to track and forecast project progress. EMCO knew it needed to bring more visibility to its processes. The team evaluated possible solutions and settled on Smartsheet. They also chose MASA Consult as their implementation partner. 

EMCO also knew Smartsheet could support other functions down the line, like resource management.

The Solution

An automated, streamlined workflow

With MASA Consult’s help, EMCO migrated its projects into Smartsheet and launched Control Center to automate project setup with budgets, timelines, and templates.

The engagement began with a special 60-day guided trial—negotiated by MASA Consult—so EMCO could experience the value first-hand. Beyond implementation, MASA Consult supported EMCO with license advisory, contract negotiations, and long-term planning for Smartsheet adoption.

Blerton Zejneli led the refinement phase of the implementation, working hand-in-hand with EMCO teams to turn daily project management into a consistent standard while enabling fast setup and clear oversight of custom and ad-hoc projects.

MASA Consult provided training to help EMCO navigate the new environment and build internal skills. When leadership changes at EMCO put the project at risk, MASA Consult reintroduced the platform to new decision-makers, ensured continuity, and trained fresh teams on the solution—making sure the investment delivered long-term value.

Today at EMCO, Smartsheet connects the full project lifecycle. When sales submits a new request via a Smartsheet form, the Control Center automatically creates a project. As soon as milestones are reached, the assigned managers are notified so that work can continue without delay. The team also tracks key goals in Smartsheet, such as how long it takes to prepare a quote, giving them clearer insight into performance and bottlenecks.

“This solution was developed to reflect the way EMCO actually runs its projects, with close collaboration and ongoing refinement ensuring strong alignment with their real workflows” adds Blerton Zejneli.

The project schedule gives every team—design, production, and supply chain—a single view of responsibilities, deadlines, and progress. With nearly 300 ongoing projects (about 70 active at a time), Smartsheet enables each employee to focus solely on the tasks that matter to them.

Clarity and consistency across teams

Portfolio dashboards, set up by EMCO and maintained by MASA Consult, make it even easier to monitor progress. Instead of spending time on manually compiling reports and slideshows, the team can see meaningful performance insights at a glance. Employees can customize the dashboards to display information relevant to them. 

With Smartsheet, EMCO employees finally have a single source of truth—replacing endless email chains and scattered spreadsheets.

“Thanks to Smartsheet and MASA Consult, our teams are better connected—with a central, always up-to-date source of information that is accessible to everyone and provides both an overview and relevant details for their own work,” says Osswald.

Tailored reports ensure people see only what’s relevant, rather than being buried in data.

“For me, as a project manager, it means I can focus on what matters—spending more time with customers and tackling real issues—instead of chasing information or reporting on things that are already documented.”

Beyond visibility, Smartsheet has also brought consistency across projects. In the past, each department worked in its own way, with little alignment. “Now, all projects follow the same standards, using common templates for project plans, budgets, and risk management,” adds Osswald.

Faster, smarter processes

Since moving to Smartsheet, project management at EMCO has become faster and easier. 

“From the get-go, we saw an increase in efficiency in project management,” notes Osswald. 

Simple tasks that once took hours—like finding the right data or connecting with cloud systems—now take a fraction of the time.

Looking ahead, EMCO plans to expand its use of Smartsheet, with Resource Management at the top of the list. The aim is to plan work more accurately, avoid double-booking, and make capacity visible across projects. 

“I can well imagine that we will use Smartsheet much more intensively in the future. Our goal is to manage all internal projects with Smartsheet,” says Osswald.

The team is also exploring more efficient ways to manage files and data—moving contracts and documents from SAP into Smartsheet and utilizing Power Automate to connect Smartsheet with SharePoint. This configuration is already operational and is slated to become EMCO’s central data storage solution in the near future. This would allow project folders for large files, like 3D drawings, to be created automatically and linked back to Smartsheet. Another plan is to bring real-time transparency to the manufacturing level by displaying KPIs and production updates on screens for the production teams.

A reliable partner

Through all of this, MASA Consult’s role is shifting from hands-on implementation to building EMCO’s internal skills. 

“In the beginning, MASA did most of the work—building templates and guiding us,” says Osswald. “Now we want them to help us build competence within EMCO so we can manage and improve the templates ourselves. They are also helping us to automate information flows within the company in a targeted manner and showing us how we can effectively use additional Smartsheet functions to optimize our processes.”

Osswald is looking forward to the work ahead.
